Common questions about the competence module

What's the difference between AlonLearn Competence and AlonSkills?
AlonSkills is a structured requirements catalogue — a standardised "lexicon" of competencies, certifications and roles across industries. AlonLearn Competence is the module in AlonLearn that actually tracks what each individual employee holds, what's valid, and what's missing against the requirement profile for their role. They work together: you build your requirement profiles from the AlonSkills catalogue and use the Competence module to follow up in practice.
Can I upload external certificates — e.g. from courses held by other providers?
Yes. Employees can upload PDF or image of external certificates (NEK 405, GWO, professional certificates, courses from other providers) with metadata such as issuer, validity and course name. Manager or HR approves through a structured flow — and once approved, the certificate counts in the competence matrix and expiry alerts on equal footing with internal courses.
How do expiry alerts work?
Each competence can have a validity period (e.g. 2 years for first-aid courses, 5 years for HSE cards). The system alerts the employee, line manager and HR at configurable intervals before expiry — typically 90, 60 and 30 days before. Alerts go by email and can be linked to enrolment on the next recertification course.
Can the competence matrix be filtered by department or location?
Yes. The matrix can be filtered at every level of the organisational structure — department, location, project or self-defined groups. That means the department manager can see their own team, while the HR director gets the whole organisation in the same view.
What happens when an employee changes role internally?
When the role changes, the requirement profile updates automatically based on the new role's competence requirements. Existing competencies are kept — you simply see a new gap picture against the new role's requirements. No manual update needed.
Is the module suitable for ISO audit or customer audits?
Yes. Everything is traceable: who was certified when, by whom, what's valid today, and full history on expired certificates. Export to Excel or PDF gives the auditor what they need in minutes. Used in offshore and healthcare where documentation is critical.
